HOW DOES IT WORK?
STEP 1 – REGISTRATION ONLINE
To be considered for the Hosted Buyers Programme, you need to submit a registration form from our website. If your company is eligible, you will be notified via e-mail.
STEP 2 – APPLICATION PROCESS
Once you have been accepted, you will be asked to read terms and conditions of the programme. You might be asked a couple of follow-up questions by our coordinator.
STEP 3 – ORGANIZING YOUR STAY IN POZNAN
After receiving the required documents and information, we will be able to organize your trip and accommodation.
STEP 4 – SELECTING EXHIBITORS TO MEET
You will be asked to select at least 12 companies (6 per day) to meet with during the event.
STEP 5 - THE FAIR
You will visit the fair, according to your schedule.

HOSTED BUYER COMMITMENTS
As a Hosted Buyer, you commit to:
- attending at least six meetings per day (a minimum of 12 meetings in total) with the exhibitors included on the appointment list provided by the organizer
- taking part in Polagra on each day of your stay in Poznan
- returning a properly completed and signed appointment list to confirm business meetings held during the fair with exhibitors.
All Hosted Buyers are obliged to get familiar with and accept the buyer’s rights and obligations. To complete your application you will be required to submit your passport information and credit card details. Credit card information is required in case of a possible cancellation and for charging no-show fees. No other charges will be made against your credit without prior notification. Credit card details are encrypted and stored securely and safely. Accepted credit cards include Visa, Mastercard and American Express.
IMPORTANT:
As a Hosted Buyer you will be expected to commit to the full Hosted Buyer Programme due to the exclusivity of the event. Please kindly consider this time requirement before submitting your application. If you do not wish to be obliged to fulfill such commitments, please check out our SEMI-HOSTED BUYERS option.

HOW MANY APPOINTMENTS CAN I MAKE?
Hosted Buyers are required to make not less than 6 appointments per day of attendance. Most buyers make many more. There is no upper limit to the number of appointments a buyer can make during their attendance at the show.
Appointments take place during the opening hours of the fair POLAGRA at the exhibitors’ stands.
ACCORDING TO YOUR BUSINESS NEEDS, YOU CAN BE EITHER SEMI- OR FULLY HOSTED.
For buyers who would like to benefit from a “lighter” option of the programme, we offer a SEMI-HOSTED BUYERS attendance option providing the onsite benefits and pre-scheduled meetings with exhibitors.
SEMI-HOSTED BUYERS BENEFITS INCLUDE:
- free entry to the fair,
- prescheduled appointments with exhibitors of your choice,
- entry to the Hosted Buyers Zone,
- free Wi-Fi,
- transfers hotel-exhibition-hotel (only from partner hotels on selected days),
- on-site support of the Hosted Buyers Team.
TERMS AND CONDITIONS of PARTICIPATION
in POLAGRA 2026 Hosted Buyers Programme
as of 04/29/2026.
I. GENERAL PROVISIONS
The objective of POLAGRA 2026 Hosted Buyers Programme is to facilitate the international visitors – representatives of companies from the HoReCa and food technology industry, arrival, stay and participation in the trade fair POLAGRA 2026 organised in Poznań on 23-25.09.2026 at the premises of Poznań International Fair (Międzynarodowe Targi Poznańskie sp. z o.o.).
II. ORGANISER
The Organiser of POLAGRA 2026 Hosted Buyers Programme is Międzynarodowe Targi Poznańskie sp. z o.o with registered office in Poznań, at ul. Głogowska 10, 60-734 Poznań, entered in the National Court Register – District Court for Poznań – Nowe Miasto i Wilda in Poznań, 8th Commercial Division of the National Court Register, under the KRS number 0000202703 and in the register of active VAT payers – VAT ID 777-00-00-488, share capital 434.256.000,00 PLN.
OBLIGATIONS OF THE ORGANISER (ACCOMMODATION, STAY)
- The Organiser shall provide the Participant of the Hosted Buyers Programme with:
- the opportunity to conduct a minimum of 8 pre-scheduled business meetings (not less than 4 (four) meetings a day) during the POLAGRA 2026 fair with companies selected by the Participant from the list of trade fair exhibitors participating in the Hosted Buyers Programme, relevant for the Participant’s industry profile specified by the Participant in the registration form;
- a summary containing the full list of companies with which the Programme Participant is obligated to conduct business meetings not later than 10 days prior to the beginning of the POLAGRA 2026 fair; the Organiser shall not be liable if any of the exhibitors included on the list cancels their participation in the fair; in such a case, if possible, the exhibitor concerned shall be substituted with a company with a similar industry profile; Programme Participant may additionally conduct non-scheduled business meetings with other exhibitors of the POLAGRA 2026 fair on their own;
- travel costs up to 1800 PLN gross;
- hotel accommodation with breakfast for a maximum of 2 nights, including the booking arrangement and covering of the accommodation costs for a maximum of two nights between 22-25.09.2026; The Programme Participant may extend their stay on their own and at own expense;
- free access to Wi-Fi / a possibility to use a wireless Internet at premises of POLAGRA 2026 fair between 23-25.09.2026;
- entry documents for POLAGRA 2026 fair and a host from the Hosted Buyers Programme;
- the opportunity to participate in the evening gala for exhibitors of the POLAGRA 2026 fair.
- The Organiser shall not cover nor provide Participant of the Hosted Buyers Programme with the following costs:
- visa application fee;
- arrival to the fair;
- travel costs beyond 1800 PLN gross;
- travel insurance;
- additional hotel services rendered against payment (e.g. mini bar, costs of phone calls, Internet);
- costs of taxi fares and costs of other means of transport outside of the organized travel arrangement;
- any other services and benefits.
III. PARTICIPANT OF THE HOSTED BUYERS PROGRAMME
QUALIFICATION FOR THE HOSTED BUYERS PROGRAMME
- The Hosted Buyers Programme is designated for representatives of international companies from the Garden and Landscape Architecture Industry interested in establishing trade cooperation with exhibitors of the POLAGRA 2026 fair, representing one of the following: major wholesaler groups, supermarket chains, importers or distributors of food products, as well as persons holding decision-making positions in terms of purchases and concluding purchase contracts connected with the purchase of products enclosed in the thematic scope of the POLAGRA trade fair.
- One company may delegate only one representative for participation in the Hosted Buyers Programme. The costs of participation of all other/ additional representatives of the company are not reimbursed by the Organiser.
- The intention to participate in the Hosted Buyers Programme shall be notified on-line, using the registration form provided onhttps://hostedbuyers.eu/en/polagra/registration/. On the registration form the person notifying participation in the programme completes their data (first name, last name and job position) as well as the data and information concerning the company they are going to represent as part of the Hosted Buyers Programme.
- The Organiser shall consider each registration made online using the registration form referred to in point 3 individually, and the final approval of a given Participant is at the sole discretion of the Organiser.
- The accepted Participants of the Programme will receive an email with the following materials from the Organiser :
- confirmation of receiving the registration and qualifying for the Hosted Buyers Programme;
- Terms and Conditions of Participation in the POLAGRA 2026 Hosted Buyers Programme.
- In case of a malfunctioning of the website application form the Application Form must be correctly completed and signed by Participant of the Programme. Scan of the completed and signed form has to be sent to the Organiser via email on the following email address: ">kolaczek
. - Only the persons accepted by the Organiser, who will send the scan of a correctly completed Application Form and who have received the confirmation of its receipt from the Organiser, shall have the right to participate in the POLAGRA 2026 Hosted Buyers Programme.
- The administrator of personal data is Międzynarodowe Targi Poznańskie Sp. z o.o. with its registered office in Poznań, ul. Głogowska 10. Personal data will be processed for purposes related to participation in the fairs and events and marketing and statistic purposes, as far as consent has been given, until they are withdrawn. Complaints and objections regarding the processing of personal data should be reported electronically to the following e-mail address: iod
(Data Protection Officer). If necessary, the data may be made available only to entities cooperating with the Administrator in order to execute the orders entrusted to them. You have the right to access your data and request their rectification, deletion or limitation of processing, expressing objection to processing, withdrawal of consent or filing a complaint to the supervisory authority and the right to transfer personal data. We assure you that we strive to provide physical, technical and organizational protection of personal data against accidental or deliberate destruction, accidental loss, alteration, unauthorized disclosure, use or access in accordance with all applicable laws.
CHANGE OF PARTICIPANT OF THE HOSTED BUYERS PROGRAMME:
- In the event when Participant of the Programme for justified reasons cannot arrive to Poznań during the POLAGRA 2026 fair and fulfil the obligations resulting from the Terms and Conditions of Participation in the Hosted Buyers Programme (conducting meetings with exhibitors on each day of the fair), they can propose another representative who will participate in the POLAGRA 2026 Hosted Buyers Programme.
- The terms and conditions for changing the Participant of the Hosted Buyers Programme are as follows:
- an accepted registration of a Participant of the Hosted Buyers Programme cannot be transferred to a different representative of the company without Organiser’s knowledge;
- the change should be notified via email to the Organiser not later than by 01.08.2026, and the Organiser shall confirm the receipt of such notification;
- new person selected for the change must be an employee of the same company and hold a decision-making position in terms of making purchases and concluding contracts
- new person selected for the change must complete and sign the Application Form and send its scan via email to the Organiser on the following email address: ">kolaczek
; - change of a person must be approved by the Organiser, which fact shall be confirmed via email.
OBLIGATIONS OF PARTICIPANT OF THE HOSTED BUYERS PROGRAMME
- Participant of the Programme shall be obligated to:
- collect the entry materials and sign the POLAGRA 2026 Hosted Buyers Programme attendance list under their name, presented to them in a specially indicated place on the first day of the fair;
- proactively participate in the event by attending at least 4 (said: four) meetings a day and in total minimum 8 meetings with the exhibitors of POLAGRA 2026 fair indicated on the list of companies provided by the Organiser;
- participate in the POLAGRA 2026 fair on each day of the stay in Poznań;
- timely perform the meetings scheduled for each day.
- Fulfill a post-event survey provided by the Organizer and evaluation, including a report on the meetings concluded,
- Participant of the Programme arriving at the POLAGRA 2026 fair from a country whose citizens need a visa to Poland, shall be obligated to commence the procedure for obtaining the visa early enough prior to arrival at the fair. Organiser shall not be liable for the failure of an accepted Participant to participate in the Programme as a result of non-obtaining visa or obtaining it later than needed.
Participant of the Programme who has special requirements regarding the stay (e.g. allergies) shall be obligated to inform the Organiser about this fact prior to arrival at POLAGRA 2026.
